How we handle your data.

Builder Deck Expo LLC designs, fabricates, installs, and stores exhibition stands for brands on four continents. This policy explains what we collect when you visit our website, request a quote, or engage us for a project, and the choices you have over that information.

Who we are

"We", "us", and "our" refer to Builder Deck Expo LLC and its affiliated studios in the United States, Europe, the United Kingdom, the United Arab Emirates, and Hong Kong. We are the data controller responsible for personal information collected through this website and during the course of any project we undertake on your behalf.

Our primary point of contact for privacy matters is marketing@builderdeckexpo.com. If you would like a printed copy of this policy in another language, contact us and we will arrange one.

Information we collect

We collect only what we need to respond to your enquiry, deliver a project, and run our website. Specifically:
  • Information you give us directly, when you submit a contact or quote form, email us, or speak with a member of our team, you may share your name, role, company, email address, phone number, and details of the show or stand you are planning.
  • Project documentation, once an engagement begins, we collect the information necessary to build for you: brand assets, floor-plan files, supplier credentials, on-site contacts, and shipping addresses.
  • Technical information, our web server logs the IP address, browser type, and pages requested for every visit. We also use a small set of analytics cookies to understand which pages perform and where visitors get stuck.

We do not knowingly collect sensitive categories of personal data (health, biometric, racial or ethnic origin, political opinions, religion, sexual orientation, criminal records) and ask that you do not send them to us.

How we use your information

We use the information we collect for the following purposes:

  • To respond to enquiries and prepare quotes, the studio closest to your venue will reply within one business day with first questions and a rough fee band.
  • To deliver the project you have engaged us for, design, fabrication, logistics, installation, dismantle, and storage.
  • To send service updates and timely operational messages directly related to a live engagement.
  • To send occasional marketing communications about our work or upcoming shows, only where you have indicated an interest, and always with a one-click unsubscribe.
  • To improve the website, understand traffic, and prevent abuse, using aggregated, non-identifying analytics.

We do not sell your personal information, and we do not use it to build third-party advertising profiles.

Sharing your information

We share information only where it is necessary to deliver a project or operate our business, and only with parties bound by confidentiality:

  • Fabrication, freight, installation, and AV partners working on your specific project, briefed on a need-to-know basis.
  • Venue and organiser contacts at the show, where credentials, plans, or risk assessments must be filed in your name.
  • Service providers we rely on to run the business, email and document hosting, accounting, payroll, and analytics, under written data-processing terms.
  • Legal, regulatory, or law-enforcement bodies when a lawful request requires it, or to protect the rights, property, or safety of Builder Deck Expo LLC, our clients, or the public.

International transfers

Because we operate studios on four continents, your information may be processed in countries other than the one you live in, most commonly the United States, the European Economic Area, the United Kingdom, the United Arab Emirates, and Hong Kong SAR. Where we transfer personal data out of a region with stricter data-protection rules (for example, from the EEA), we rely on Standard Contractual Clauses or equivalent safeguards.

Data retention

We keep personal information only for as long as we have a legitimate reason to hold it, typically for the duration of an active engagement plus the period required by tax, accounting, and contract-record laws (commonly seven years in most jurisdictions we operate in). Enquiry data that does not progress to a project is purged from active systems within twenty-four months. You may ask us to delete your data sooner where no overriding legal obligation requires us to keep it.

Your rights

Depending on the jurisdiction you are in, you may have some or all of the following rights:
  • Access, a copy of the personal information we hold about you.
  • Correction, to update inaccurate or incomplete information.
  • Deletion, to ask us to erase information, subject to any legal retention obligations.
  • Portability, to receive your data in a structured, machine-readable form.
  • Objection or restriction, to limit certain uses of your information, including direct marketing.
  • Withdrawal of consent, where processing relies on consent, you can withdraw it at any time.
To exercise any of these rights, write to marketing@builderdeckexpo.com and we will respond within thirty days. If you believe we have not handled your data properly, you also have the right to lodge a complaint with the data-protection authority in your country.

Cookies and similar technologies

Our website uses a small number of cookies and similar storage:
  • Essential, required for the site to function, including session and security cookies. These cannot be disabled.
  • Preference, remembering small choices such as whether you have already seen our intro animation in this session.
  • Analytics, anonymised page-view and performance data, used in aggregate to improve the site. We do not use cross-site tracking pixels.
You can block or delete cookies in your browser settings. Doing so may affect some features of the site but will not prevent you from using its content.

Security

We apply industry-standard technical and organisational controls, encrypted transport, access controls, principle-of-least-privilege, and routine review of our processors. No system connected to the internet is one-hundred-percent secure; if a breach occurs that affects your personal information, we will notify affected parties and the relevant authorities in line with applicable law.

Children

Our website and services are aimed at business professionals and are not directed to children. We do not knowingly collect information from anyone under the age of sixteen. If you believe we have inadvertently received such information, contact us and we will delete it.

Changes to this policy

We update this policy when our practices change or when the law requires it. The version date at the top of this page always reflects the most recent revision. Material changes will be announced on this page; substantial changes that affect existing engagements will additionally be communicated directly.
